As-built drawings: the cheapest insurance on the project

Why as-built drawings get skipped, what a genuine as-built is, and how to capture record information without it becoming a project of its own.

Ask anyone who maintains buildings for a living what they wish every project handed over, and the answer is boringly consistent: drawings that match what was actually installed. Ask why they so rarely get them, and the answer is just as consistent. By the end of the job the fee is spent, the team is demobilising, and the record drawings are the last line on a snagging list everyone wants closed.

I've spent years on the maintenance side of that handover, tracing unlabelled pipework through ceiling voids because the "as-built" was a construction issue with a new stamp. It leaves you with strong views.

What an as-built is

An as-built drawing records what was installed. The routes that changed when the steelwork wasn't where the drawing said. The plant that was substituted mid-job. The valve that ended up two rooms away from its drawn position, and the extra isolation added during commissioning.

What routinely gets handed over instead is the final construction issue re-stamped "AS BUILT", untouched. That's a record of an intention, and every deviation that happened on site is now invisible. I'd argue it's worse than no drawing at all, because a missing drawing announces itself while a wrong one gets trusted.

Who uses them

The as-built feels like paperwork because the people who need it aren't in the room when it's skipped. The maintenance team needs it for the life of the building; when something's leaking through a ceiling, "which valve?" is not a question you want answered by exploration. The next contractor needs it when pricing an alteration years later, and good records shrink their risk allowance while bad ones mean surveys, opening-up, and padded prices. The building owner needs it at every refinance, sale, and fit-out, when "records of installed services" appears on a due diligence list. And you may need it yourself when a defect claim lands 18 months after handover and the drawing is your evidence of what was done.

Why they get skipped, honestly

Nobody decides to skip the as-builts. They get skipped by default. The money runs out at the end of the job, the people who knew where things went have moved to the next site, and the site markups that are the raw material of the whole exercise were never kept up as the work progressed. By the time someone asks for record drawings, producing honest ones would mean re-surveying the building. So the construction issue gets a new stamp.

The fix isn't more virtue at the end of the job. It's moving the effort to where it's cheap.

Capture during, produce after

The economics of as-builts are entirely about timing. During the works, a deviation costs nothing to record, because the installer who moved the run knows exactly where it went today. One redlined set in the site office, kept current as part of the job, is the whole discipline. It doesn't need to be tidy. It needs to be true and dated. After the works, the same information costs a survey to recover: ceiling voids, risers, and plant rooms, visited by someone with a torch who didn't install any of it.

The practical routine is unglamorous. Mark up deviations as they happen. Photograph what's about to be concealed before it's concealed; a phone photo of a ceiling void with a tape measure in shot has settled more arguments than most specification clauses. Record commissioning changes on the same set. Do that, and the final production is a drafting exercise that turns honest markups into clean DWGs instead of an archaeology project.

What good looks like at handover

A record set worth the name is verified: produced from site markups and photos, with any unverified areas marked as such rather than silently drawn as designed. An honest gap beats a confident fiction. It's complete as a set, meaning plans, schematics updated to match, valve and plant schedules with locations, and equipment references that match the labels physically on the plant. It's closed out on revisions, with every drawing at a final revision, an issue sheet saying so, and PDFs plus native DWGs handed over so the next person can work with the files. And it's in the O&M manual where people can find it, because record drawings that exist but can't be located are no insurance at all.

The cost argument, plainly

Producing genuine as-builts from well-kept markups is days of drafting. Recovering the same information later costs surveys, opening-up, risk allowances on every future project, and slow diagnosis on every fault for the life of the building, paid repeatedly by different people, none of whom caused the gap. Set against the value of the asset it describes, the record set is the cheapest insurance on the project. It just has the misfortune of being purchased at the exact moment everyone wants to stop spending.
